Built for two kinds of schools

Public or private — SchoolFix speaks both languages.

A public JSS principal and a private school director run very different schools. SchoolFix is tuned to each.

For public schools

Capitation, compliance, and the Exam Office.

Built for the realities of public Primary, Junior, and Senior Schools — where tuition is free, every shilling is capitation, and NEMIS/KEMIS data accuracy is the principal's personal liability.

  • Capitation tracking by vote head — Account 1, Account 2, tuition, operations
  • NEMIS/KEMIS-aligned enrolment records with UPI tracking
  • BoM-ready budgets and audit trails for every shilling spent
  • Automated CBC report cards and AI-powered marks analysis
  • KNEC registration support — KPSEA, KJSEA, KCSE
  • Auto-generated timetables — no more end-of-term scramble
  • Boarding fee tracking where applicable, with arrears reports
For private schools

For directors who actually run the school.

For decision-makers who need a complete operating platform — not a marks book with extras. Fees, growth, parents, and a real-time dashboard that tells you how your school is doing today.

  • Director's dashboard — your school's pulse on one screen
  • M-Pesa, bank, and SMS-confirmed fee collection — auto-reconciled
  • Arrears tracking with automated parent reminders
  • Real-time parent portal — fees, marks, attendance, statements
  • Enrolment growth, withdrawals, and term-on-term trends
  • Auto-generated timetables, payroll, and staff management
  • Implementation in 14 days, with 24/7 support
The Principal's Dashboard

The reality

Every term is a CBC term now.

CBC is no longer the future of Kenyan education — it's the present, at every level from primary through senior school. Yet most schools still run their administration the way they did under 8-4-4: paper registers, manual report cards, ledger books, and end-of-term overtime that nobody signed up for.

Every term that passes without the right systems is another term of teachers losing weekends, parents calling angry about fees, and compliance reports built from scratch when KICD asks. The schools getting ahead aren't waiting for a deadline. They're fixing this now, while their peers are still firefighting.

What's inside SchoolFix

One platform. Everything your school needs to run.

01

CBC-Compliant Reporting

Automated competency-based report cards aligned with the KICD framework. Strand and sub-strand level detail. Generated in minutes, exportable to PDF or print.

02

Fees, Banks & M-Pesa

M-Pesa Paybill, bank transfer, and SMS-confirmed payments — all auto-reconciled into one view. Parent statements update in real time. Bursars stop reconciling spreadsheets and start running schools.

03

Parent Communication Portal

Each parent gets a private portal with their child's marks, attendance, and fee status. SMS notifications for important updates. No more 200-person WhatsApp groups.

04

AI-Powered Analytics

Marks analysis, learner pathway recommendations, and trend identification — at the school, class, and individual level. Insight your spreadsheet can't give you.

05

Staff & Payroll

Staff records, attendance, performance, and payroll — all in one place. Connected to your fee module so school finances reconcile automatically.

06

24/7 Kenyan Support

Same-day response on WhatsApp. Real engineers, based in Kenya, who understand how schools actually run. We've taken Sunday-evening calls. We mean it.

07

Auto-Generated Timetables

Build conflict-free timetables in minutes — not weeks. SchoolFix handles teacher availability, room constraints, and subject groupings automatically. Adjust on the fly when staffing changes.

The honest math
KES45
per learner, per term — for a 500-learner school.

SchoolFix scales with your school — the bigger your population, the lower the per-learner rate. The smallest schools pay a flat minimum of KES 60,000 per year, structured across three terms. That works out to less than what most schools spend on photocopying paper for a single term.

School sizeRate per termAnnual subscription
Up to 200 learnersKES 60,000 (minimum)

1,501 – 2,500 learnersKES 30From KES 135,090
2,500+ learnersKES 27Custom quote

For schools under 500 learners, the KES 60,000 annual minimum applies — payable in three termly installments. One-time setup fee in Year 1 only. Subscription includes 24/7 support, cloud hosting, daily backups, security updates, and continuous CBC compliance updates.

The shift to CBC was overwhelming until we brought in a system built specifically for it. Report cards that used to take weeks now take an afternoon, and parents have visibility they never had before.

Common questions

What principals ask us first.

How much does SchoolFix cost?

From KES 27 to 50 per student per term, depending on school size, with a minimum annual subscription of KES 60,000. Termly payment plans are available so you can pay alongside your fee-collection rhythm. A one-time setup fee applies in Year 1 only, capped at KES 50,000 even for the largest schools.

We're a public school — we don't collect fees. Does SchoolFix still help us?

Absolutely. For public Primary, Junior, and Day Senior Schools, the value isn't fee collection — it's everything else. Capitation tracking by vote head, NEMIS/KEMIS-aligned enrolment records, BoM-ready budgets, CBC reports, marks analysis, timetable generation, and KNEC registration support. The platform adapts to your reality, not the other way around.

Does SchoolFix support NEMIS and the new KEMIS?

Yes. SchoolFix maintains your enrolment records in a format that aligns with NEMIS — and the transition to KEMIS that began January 2026. UPI numbers are tracked, learner data stays current, and exports are formatted for upload. Principals stop worrying about ghost-learner audit risk.

How long does it take to get a school live on SchoolFix?

Typically 14 days from contract signing to your staff using it day-to-day. That includes data migration, CBC curriculum configuration, payment integration (M-Pesa and bank for private schools, capitation tracking for public schools), timetable generation, staff training, and parent onboarding SMS.

What if my school is small or rural and the standard pricing is too much?

We have a structured Rural Pioneer Program for schools under 250 students in rural or peri-urban areas. It's not a discount — it's a partnership. Reduced pricing in exchange for case-study permission and feedback. Twenty slots are open this year.

Can we pay in installments?

Yes. The annual subscription can be split across all three school terms, so you pay alongside when fees come in. Year 1 payments include a 5% processing fee on termly plans; from Year 2 onwards, early renewers get termly billing free.

Is my school's data secure and private?

Yes. Each school gets its own secure subdomain (e.g. yourschool.schoolfix.co.ke) with daily encrypted backups. We comply with the Kenya Data Protection Act 2019. Your data belongs to you and is never shared with third parties.

What happens if we sign up and it doesn't work for us?

We'd rather have an honest conversation about fit than push a school into a system that doesn't suit it. The 20-minute demo is designed to find that out before either of us commits. If we sign up and you have concerns later, we work with you directly to fix them.

Do you support both Junior and Senior School?

Yes. SchoolFix is one of the few systems built for both, including the new CBC senior school pathways (STEM, Social Sciences, Arts & Sports Science). One platform, one license, both levels.

Talk to us. No commitment. Same-day reply.
